10 Emailing Tips for Higher Response Rates & Engagement
Our words find wings, connecting souls in unseen, boundless strings.
After many years of working in customer support, sales, and other customer-facing roles, we've gathered some of the most prominent lessons that we have learned from connecting to customers and clients, especially in the initial stages of connection.
Below are 10 tips for generating higher response and engagement rates from potential clients and customers.
1. a more assertive tone
We encourage communicating in our most authentic voices while also writing in a self-assured tone. Sounding more confident can give customers the impression that your business is one to trust.
"I hope you can take a look at this attachment." vs "Please look at this pamphlet and let me know what you think."
2. ask a question
Asking a question invites people to give us an answer back. We naturally respond more quickly when we see a question directed at us.
"Looking forward to hearing back." vs "What do you think?"
3. add a name to the subject email line
People are wired to respond when they see or hear their own names.
"Request for Collaboration" vs "For Mary: Request for Collaboration"
4. add a personal detail in the email
This shows that we are not simply mass-emailing as many people as possible.
"I see that you're hosting an art workshop next weekend. I'd love to..."
5. send emails later in the day
Your emails then land at the top of people's inboxes when they check their emails the next morning. You can even schedule your emails to be sent in the evening.
6. many line breaks
Line breaks and smaller paragraphs are much easier to read and create less resistance.
7. send follow-up emails
Wait a few business days to follow up. Unbeknownst to us, our emails could be be landing in their spam box.
8. get straight to the point
The less fluff, the better! The more direct we sound and present our goal for emailing at the start of the email, the more trustworthy we sound.
" “My name is Eva. I am an event planner with 10 years of experience. My style is...” vs " My name is Eva. I would like to plan your upcoming retreat.”
9. speak authentically
Most of us now use ChatGPT to write our content, but remember that we are still trying to form human connections. Speak from the heart!
10. give a bit of background without revealing too much
Give people enough information so that they understand the benefit they would receive from you without revealing too much about yourself or your services. This allows their interest to develop enough to ask you for more information. When they have asked you, they have already invested enough energy in a response email to then consider your services more seriously.
